PerMile ("we", "us", or "our") is a software service that helps owner-operators and fleet owners track their profit per mile, expenses, and load performance. 2. Information We Collect

Information You Provide

• Account information — your name, email address, phone number, and business name when you sign up.
• Payment information — billing details processed securely through Stripe. PerMile does not store your full credit card number.
• Trucking data — load details (origin, destination, miles, revenue), fuel receipts, expenses, driver pay, and any documents you submit by photo, text, or email.
• Communications — messages you send to us through email, SMS, or web forms.

Information Collected Automatically

• Usage data — how you interact with the Service, including pages visited, features used, and time spent.
• Device information — browser type, operating system, and device identifiers.
• Cookies — small data files that help the Service function and remember your preferences.

Information From SMS / Text Messages

When you text photos or documents to your PerMile phone number, we process those images using AI to extract data such as fuel costs, load amounts, and receipt totals. The extracted data is stored in your private account dashboard. The original images may be retained for accuracy verification but are never shared publicly.

3. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Service
• Process your transactions and manage your subscription
• Calculate your profit, expenses, revenue per mile, and other key metrics
• Send you account notifications, weekly profit summaries, and service updates by email and SMS
• Respond to your support requests
• Detect and prevent fraud, abuse, or security issues
• Comply with legal obligations

4. SMS Communications

By providing your phone number and using PerMile, you consent to receive SMS messages from us. These may include:

• Confirmation messages when you submit receipts or documents
• Weekly profit summary reports
• Account notifications
• Important service updates

Standard message and data rates from your carrier may apply. You can opt out at any time by replying STOP to any message. To resubscribe reply START. For help reply HELP.

We will never sell or share your phone number with third parties for marketing purposes.

5. How We Share Your Information

We do not sell your personal information. We share information only in these limited circumstances:

• Service providers — trusted third parties who help us operate the Service (such as Stripe for payments, Twilio for SMS, and Google Cloud for hosting). These providers are contractually required to protect your data.
• Legal compliance — when required by law, court order, or to protect the rights and safety of users.
• Business transfers — if PerMile is acquired or merged, your information may be transferred as part of that transaction. You will be notified in advance.
• With your consent — for any other purpose, only with your explicit permission.

6. Data Security

We use industry-standard security measures to protect your information including encryption in transit (HTTPS/SSL), secure password storage, and restricted access to user data. While no system is 100% secure, we work hard to protect your information from unauthorized access, alteration, or disclosure.

We keep your information for as long as your account is active or as needed to provide the Service. After account deletion, we may retain certain data for legal, tax, or operational purposes (typically up to 7 years for financial records).
